Job Title: Office Administrator
Reports to: Controller
FLSA Status: Part Time Non-Exempt
Key position supports station leadership with diverse, fluid needs ranging from receptionist duties to assisting with specific needs within station operations – i.e. sales, production & finance.
ESSENTIAL DUTIES include the following:
Answers incoming phone calls. Directs caller to appropriate department or individual or to voicemail. Filters unnecessary calls.
Provides callers with general information such as company address, directions to the station, company fax number, website address, and other information.
Prays for callers who have prayer needs or writes them down for our prayer team.
Receives, sorts, and forwards incoming mail and prepares outgoing mail.
Responds to viewer emails and messages in a timely manner.
Communicates with callers in a professional, friendly, and efficient manner.
Greets visitors in a professional, friendly, and hospitable manner.
Communicates messages to the appropriate parties in a timely manner.
Types correspondence, reports, and other documents.
Makes tabs and file folder labels for documents as needed.
Assists with clerical duties as requested. Copy, scan, fax and print management.
Maintains Excel database of names/addresses for monthly newsletter
Inputs contributions into donor software, run receipts. Composes new receipt letter monthly. Prepares & mails year-end tax receipts
Deposits checks. Prints deposits and image captures.
Inputs accounts receivable invoices into accounting software & enters on Excel spreadsheet. Mails out invoices.
Provides callers/emailers requesting information about airtime with pricing (via email) and answers their questions as needed. Forwards interested parties (after seeing pricing sheet) to upper management.
Provides callers/emailers requesting to be a guest on the show with information about our process for selecting guests. Forward information to content developer as needed.
Makes and updates the programming grid and sends grids to listings once a month and as needed in between.
Prepares FCC Quarterly Report and revises for posting
Greet and escort production guests on production days in a professional, friendly, and hospitable manner.
Collects releases for guests appearing on camera and maintains filing of releases.
Maintains the visitors log and provides all visitors with appropriate identification.
Prepare snacks for green room and staff kitchen
Schedule catering prior to production days and receive catering on production days and clean-up catering leftovers/kitchen afterward.
General and Other Responsibilities
Tracks inventory of supplies and creates lists of items needed for kitchen & office
Organizes kitchen area and food orders as needed.
Makes occasional trips to office supply store, grocery store, post office, bank.
Adjust work hours as needed to accommodate production days and special events

Majority of shift is generally spent at a desk in an office setting
Fast paced environment (on production days especially)
Answer telephones/receives guests/computer work for duration of shift
Hourly Pay Range: $12.00-$13.00 per hour
